We have been experiencing consistent sustained growth over a long period of time.
As part of managing that growth, we are instituting this brand new position to the company to help improve our customer's experience in doing business with us and manage the growing workload.
*Job Summary* We are seeking a highly organized and detail-oriented Administrative Assistant to the Sales Manager to join our team.
In this role, you will provide administrative support to the Sales Manager in the areas of sales, project management, and, eventually, marketing tasks.
The ideal candidate will have excellent organizational skills and a strong ability to multitask as well as the ability to communicate in a professional and courteous manner with our customer base.
Schedule will be 40 hours per week during the Monday to Friday time period during our normal business hours which are 8am to 5pm.
This is an in-person position only.
*Duties* Project Management * Perform introductory calls to new customers to inform them of the project process and timelines.
* Make reminder calls to customers the day before scheduled installations.
* Obtain and coordinate rental equipment for technicians when needed and ensure they are returned in a timely manner.
(Mostly aerial lifts.
) * Ensure any permits needed are properly pulled.
(In coordination with our lead technician.
) * Verify customer data submitted by technicians in the field is accurate and posted properly.
* Perform customer project wrap up phone calls to ensure customer satisfaction with our work and solicit positive online reviews.
* Assist with product procurement for projects and inventory management.
* Collaborate with other departments to ensure smooth operations and customer satisfaction.
Sales * Review sold job folders turned in by sales reps for accuracy and completeness in guidance with current policies and procedures.
* Prepare and send contracts for minor adjustments to existing customer subscriptions such as adding new services that don't require a sales rep to design a system upgrade and account owner changes.
* Assist in preparing sales reports, contracts, and other documents as needed.
* Perform general office duties such as filing, organizing files, and managing office databases.
* Fill in for Sales Manager when he's unavailable to explain basic products and service offerings.
* Assist Sales Manager in monitoring CRM for compliance and add new parts to estimating software as needed.
* Coordinate scheduling of vendor meetings with appropriate staff members.
Marketing * Prepare monthly social media strategy and generate posts for implementation in coordination with Sales Manager's guidance.
* Prepare periodic email marketing efforts to our email subscribers.
* Perform periodic check-in calls with existing subscribers to ensure they're happy with their services and aware of our various offerings.
Other duties may be assigned based on the needs of the Sales Manager and other leaders in the company.
*Skills* * Strong administrative skills with proficiency in Microsoft Office Suite (Outlook, Word, Excel) * Knowledge of utilizing and administering a CRM system * Knowledge of front desk operations and phone systems * Excellent customer service skills with the ability to communicate effectively and professionally * Proven ability to multitask and prioritize tasks in a fast-paced environment * Previous experience as a personal assistant or in an administrative role is preferred * Strong attention to detail and organizational skills for maintaining accurate records and files * Knowledge of social media marketing strategies for business a plus *Compensation and Benefits* This is a full-time, non-exempt position and qualifies for all our full time benefits which include: * Overtime rate at 1.
5x normal rate for all hours work in excess of 40 per week * Accrual of up to 40 hours per year of Sick Paid Time Off * Vacation Paid Time Off accrued based on years of service (eligible to accrue up to 40 hours per year after 1 year of employment, 80 hours after 2 years, 120 hours after 5 years, 160 hours after 8 years.
